Many of you participated in our first annual Fall Festival event.  During this event, we hope you notice how committed we were to your success. During the month of October, we had over 32,000 people visit the farm.  Most vendors had incredible success.  We have eliminated Thursdays due to poor performance.

During this period, we learned a lot and have made numerous changes to our program.  Simplifying most aspects to make life easier for everyone.  Creating a program that will more evenly spread out visitors to ensure a more comfortable pace for all participants.

Friday & Saturday:

  • Set Up By 8:00am
  • Parking Lot Gates Open at 9:00 am

Event Provisions

  • Electricity  $5.00 per day
  • Water Service  $5.00 per day
  • Ice $3.00 per 10 lbs bag
  • Garbage $20 per weekend

RFF will provide the following:

  • 10 x 10 plot 
  • Advertising ($35K to $50K is budgeted for this event)
  • Restrooms 
  • Tent watching service for short breaks.
  • Vendor parking
  • Primary service exclusivity. No exclusivity on secondary services (such as general sides, drinks, etc). All services will have to be approved.

Vendor Requirements

  • To provide a tent where a permanent structure is not available.
  • Must remain open until 9:00 PM on Fri/Sat and 7:00 PM on Sun
  • Must be completely set up by 9:00 am.  If not completed by 9:30am, we reserve the right to disallow your participation for that day.
  • Provide an approved good or service
  • No illegal or illicit activities
  • No political campaigning or bantering
  • No proselytizing
  • Remain open and available at least 80% of the time
  • Maintain appropriate COVID policies
  • Decorate their tent with a fall or Halloween theme
  • Advertise independently their participation at our event (This includes Facebook boost, social media, passing out brochures, etc)
  • Must sign contract and non-disparagement agreement
  • Payments must be received by Sept 1st. Vendors accepted on first come/first serve basis. We will continue to accept vendors after Sept 1st while space is available.
  • Provide appropriate proof of insurance and add Raprager Family Farm as additional insured. 

Additional Information

There will be 4 areas for booths.  

  • Area 1 is along the initial entry path
  • Area 2 is in the open area behind the winery in the path to the bounce pillow
  • Area 3 will be by the childrens blowup maze near the greenhouse
  • Area 4 will be a special addition.  Located in the parking lot, next to the Produce Market.  People will not need a ticket to access these booths and can purchase after they leave the event.

There will be 40 vendors allowed as follows.

  • 2 food trucks
  • 4 food tents (serves a staple item.  1 per area)
  • 8 food snacks tents (popcorn, snow cones, pretzels, etc)
  • 8 promotional tents (provides services)
  • 16 retailers

Fee

  • Food & Snack Vendors $125 per day
  • Promotional Vendors $125 per day
  • Retail Vendors $75.00 per Day

Discounts

  • For each 3 day weekend booked 
  • Food & Snack Vendors $300 per weekend 
  • Promotional Vendors $300 per weekend
  • Retail Vendors $150.00 per weekend

As of the issuance of this packet, 50% of all the food vendors have been filled and numerous retail positions.
